Privacy Policy
Aureva International Ltd, a company incorporated in Nigeria, trading as With Ease Africa, is the controller of the personal data described here.
We process personal data in accordance with the data protection law of your country, and you may complain to the data protection authority of your country if you believe we have handled your data wrongly. Where the law of your own country gives you stronger rights, those rights apply.
1. What we collect
You give us: your name, email address, telephone number, your organisation's details and country, and whatever you choose to upload — documents, financial records, invoices, compliance items and identity information such as your national identity number, where one exists or your taxpayer identification number.
We generate: your Trust Score and its history, records of documents and obligations, reports you produce, your acceptance of legal documents, and support and AI conversation records.
We collect automatically: sign-in events, the pages you use, your device and browser type, and your approximate location derived from your network address. We do not use tracking that follows you across other companies' websites.
2. Why we process it, and our lawful basis
| Purpose | Basis |
|---|---|
| Providing the platform to you | Performance of our contract with you |
| Verifying identity and preventing fraud | Our legitimate interests, and legal obligation |
| Taking payment and keeping financial records | Contract, and legal obligation |
| Security, backups and service monitoring | Our legitimate interests |
| Answering support requests | Contract, and our legitimate interests |
| Sending service messages you need to receive | Contract |
| Sending marketing | Your consent, which you may withdraw at any time |
| Meeting regulatory requirements | Legal obligation |
3. Identity documents
Identity information is sensitive and we treat it that way. It is used only to verify who you are and to populate your own records, is visible only to you and to those you authorise within your organisation, and is never sold, never used for advertising, and never shared except as set out below.
4. Artificial intelligence
Where an AI feature answers a question about your business, only your own organisation's records are sent to the AI provider, and only for that request. Your data is not used to train anybody's model. Full detail is in our AI Use and Disclosure Notice.
5. Who we share it with
We share personal data only with:
- service providers who host, secure, email, back up or process payments for us, under contract and only on our instructions;
- payment providers, where you make or receive a payment;
- people you authorise, such as colleagues in your organisation or a professional you engage through the platform;
- authorities, where we are legally required to disclose, including to the tax authority of your country or a court of competent jurisdiction, and where required in connection with any anti-money-laundering registration required of you.
We do not sell personal data. We do not share it for advertising.
6. Where your data is held
Our infrastructure and our providers may store and process data outside your country. Where data leaves your country we rely on the transfer mechanisms permitted by the data protection law of your country, and we require any provider to protect it to the standard we are held to.
7. How long we keep it
We keep your data for as long as your account is open. After it closes we keep what we must for legal, tax, accounting and dispute purposes, and delete or anonymise the rest. Financial records are kept for the period required in the jurisdictions we operate in. Records of your acceptance of our legal documents are kept as evidence and are not deleted, because they are the proof of what you agreed to and when.
8. Your rights
Subject to the data protection law of your country you may ask us to give you a copy of your data, correct it, delete it, restrict or object to how we use it, provide it in a portable form, or withdraw a consent you gave. Ask us at the address below and we will respond within the period the law requires. You may also complain to the data protection authority of your country.
9. Security, stated honestly
We protect data with access controls that isolate each organisation's records, encryption in transit and at rest, restricted internal access, audit trails and regular backups.
Access to your account is by a link or code sent to your email address, so anyone who can read your email can reach your account. Keeping that email address secure is the single most important thing you can do, and it is not something we can do for you. No system is perfectly secure and we cannot guarantee absolute security.
10. Children
The platform is not for anyone under 18 and we do not knowingly collect their data. If you believe we hold data about a child, tell us and we will delete it.
11. Changes
We may update this Policy by publishing a new version. Where a change is material we will tell you and, where the law requires, ask you to accept it.
12. Contact
Write to us at legal@witheaseafrica.com for anything in this Policy, including a request to exercise your rights.
